Who we are

Thames House Buyers is a trading name of PropGain UK Limited, a company registered in England & Wales (company number 16913648), registered office 20 Wenlock Road, London N1 7GU. We are the data controller for personal data collected through this website and when you contact us. We’re registered with the Information Commissioner’s Office under number ZC071824.

What we collect

When you enquire (online, by phone, WhatsApp or email): the property’s postcode and type, lease length if it’s a flat, your reason for selling, timescale, condition and occupancy, and your name, phone number and email address. We also keep any message you send us.

If you go ahead with a sale: the information needed to complete the transaction and meet our legal obligations. That includes proof of identity and address for anti-money-laundering checks, and property and legal documents.

Automatically: basic technical data such as your IP address and browser type, used for security and to prevent spam. We store IP addresses only in a one-way hashed form for rate-limiting. If you accept analytics cookies, we also collect anonymised usage data (see our cookie policy).

How we use it

  • To respond to your enquiry, value your property and recommend a suitable route.
  • To make you an offer and, if you proceed, to complete the purchase.
  • To meet our legal obligations, including anti-money-laundering checks and record-keeping.
  • To keep the website secure and protect our forms from spam and fraud.
  • To understand, in aggregate, how the website is used, but only if you’ve accepted analytics cookies.

We don’t sell your data, share it with marketing networks, or use it for advertising on other websites. We won’t add you to a mailing list.

Our lawful bases

  • Legitimate interests — responding to an enquiry you’ve made, and keeping the site secure.
  • Steps before a contract, and contract — making an offer and completing a purchase.
  • Legal obligation — anti-money-laundering checks and statutory record-keeping.
  • Consent — analytics cookies, and any introduction to a partner firm (below).

Who we share it with — and when

We share your data only as follows:

  • Partner firms, but only with your permission first. Sometimes another party is better placed to help you — a partner estate agent if the open market would serve you better, or a vetted investor buyer for a particular property. We’ll explain who they are and ask your permission before passing on your details. If you say no, we won’t share anything. Where an introduction leads to a sale, the partner may pay us a fee. You don’t pay us anything for the introduction.
  • Conveyancers and surveyors involved in your sale, with your knowledge.
  • Identity-verification and anti-money-laundering providers, if you proceed, under data-processing agreements.
  • Our IT and email service providers, who process data for us under contract and our instructions.
  • Meta (Facebook), only if you reached us from one of our Facebook or Instagram adverts. We may send Meta an encrypted, one-way-hashed version of your email address and phone number, so Meta can tell us whether its adverts led to enquiries. Meta can’t read the hashed details unless it already holds them.
  • HMRC, law enforcement or regulators, only where the law requires it.

Our service providers are based in the UK or EEA, or are covered by appropriate safeguards for international transfers.

How long we keep it

  • Enquiries that don’t lead to a sale: normally deleted within 12 months of our last contact.
  • Completed transactions: kept for at least 5 years after completion, as anti-money-laundering regulations require, and longer where tax or legal record-keeping requires it.

Your rights

Under UK data protection law, you can ask to access, correct or delete your data, to restrict or object to how we use it, and to withdraw consent at any time. Email [email protected] and we’ll respond within one month. Some data must be kept for legal reasons even if you ask us to delete it, and we’ll tell you if that applies.

If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk. We’d appreciate the chance to put it right first.

Security

The website uses encrypted (HTTPS) connections, and form submissions are stored in a restricted area of our server that isn’t publicly accessible. Access to personal data is limited to the people who need it.

We’ll update this page if our practices change, and show the date of the latest version at the top.
